Tips on Using Microsoft Outlook2007

 

I've put together some common problems people experience on this page. I hope you find these help files useful. All of the following are in reference to Microsoft Outlook 2007.  If you have an earlier version, you can still do all of these but the instructions or screen displays might be slightly different.  If you don’t want a headache, stop being so old fashioned and UPGRADE!

 

I hope you find these tips helpful.  They certainly help keep me organised in an efficient and stressless way.

GENERAL

Microsoft Outlook 2007 Running Slow ? Fix the Problem Now

Microsoft Outlook 2007 is painfully slow; it is much slower than even its predecessor, Outlook 2003.   The software freezes during start-up, the status bar shows "Loading Dataset.." for minutes and you can perform no actions on your email items unless that initial "Send/Receive" is complete.

Use Outlook Rules to Prevent "Oh No!" After Sending Emails – adding a delay function

How many times have you sent an email and then realized a few seconds later that your snarky comment was sent to the entire mailing list, or left an embarrassing typo in an email to somebody you were trying to impress?
Using the "Defer" rule in outlook, we can setup a rule that essentially pauses all message delivery for a few minutes after you click the Send button, to give you a chance to recover.

THE ADDRESS BOOK

You’ve got several contact ‘subfolders’ but cannot see them when using the “to” button on sending emails? (ie show a contacts folder as an email address book)

Go back to contacts,

Right click the folder that isn’t showing

Click properties,

the “outlook address tab”

Check the box that says “show this folder as an e-mail address book”

Click apply then ok.

THE CALENDAR

Calendar - Categorising Calendar Items
Categories are used to group related items together. In the Calendar, Categories can be used to classify types of meetings (e.g., committee, professional development, etc).
Categorising calendar items means you can search and list items under those categories for a set period at a later date.  This is useful, for example, if you wish to review say how much sick leave you have taken (providing, of course, one of your categories was “sick leave”).

GSYNCIT

This is a great piece of software for synchronising your contents and calendar in Microsoft Outlook with your Google mail account.

Why this isn't already a feature provided automatically with the supergiants Google, i will never understand. After installing gSyncit and starting Outlook you'll find a new toolbar available to configure gSyncit and synchronize your calendars. You can manually synchronize your calendar or have it automatically sync on a preset interval.
